Edit a review workflow
Edit a review workflow to adjust the approval process for a specific request category. You can add, remove, or reorder workflow steps and assign each step to the appropriate reviewer group.
Before you begin
Ensure you meet the following prerequisites:
- Access: You must be a Workspace Admin.
- Update details: Plan your changes in advance.
- Reviewer groups: You must create all intended reviewer groups before assigning them to workflow steps. See Create a reviewer group for details.
- Step limit awareness: The maximum number of steps allowed in a workflow varies by request category. Refer to the on-screen instructions on the edit page for the specific limit.
- Request status: All submitted requests using the workflow must be in a final status (e.g., Withdrawn or Approved).
Procedure
To edit a review workflow, complete the following steps:
Step 1: Navigate to the edit page
- Navigate to your workspace and click
(Approvals). - Click Review Settings.
- On the Review Workflows tab, find the workflow you need to update and click Edit next to it.
Step 2: Edit workflow details
On the Edit Workflow Details page, follow the on-screen instructions to update the necessary sections:
Basic Information
- Workflow Name and Applied Category: These fields are read-only and provided for reference.
- Workflow Description: A default description is provided for reference. You can adjust it to fit your approval process.
Workflow
Based on your needs, update the workflow as follows:
Add a step
Add a step if you need an additional review in the process. Note that you cannot add a step when you have reached the maximum step limit for the request category.
To add a step:
- Click Add Step.
- Enter the step details. Note that Step Name is visible to requesters and reviewers in the request log.
Delete a step
Delete a step if you need to simplify the workflow. Note that workflows must contain at least one step.
To delete a step, click
(the delete icon) next to it.
Edit a step
Edit a step to update its details. You can:
- Click Step Name to rename the step. Note that this name is visible to requesters and reviewers in the request log.
- Use the Reviewer Group dropdown to change which team is responsible for the step.
Reorder steps
Reorder steps in a multi-step workflow to change the sequence of the approval process.
To reorder steps:
- Click and hold
(the drag-and-drop handle) next to the step. - Move the step to the desired position and release it.
Step 3: Save changes
- Review your changes and ensure all required fields (marked with an asterisk *) are completed.
- Click Save.
A success message appears, confirming that your changes have been saved. You are redirected to the workflow list page. If this is your first time editing the workflow, the Default badge changes to Custom, indicating that the default workflow has been modified.
